How It Works
The calculator uses the bartender's rule: approximately 1 drink per person per hour for moderate drinkers. It adjusts the beer/wine/spirits split based on your event type, since a BBQ crowd drinks differently than a cocktail party.
- Enter total guest count (including non-drinkers).
- Set event duration in hours.
- Choose event type — this adjusts the drink ratio.
- Select drinking level based on your crowd.

Non-Alcoholic Options Guide
- Sparkling water: Always have plenty — even drinkers want it between rounds.
- Mocktails: Offer 1-2 signature mocktails. Guests who do not drink appreciate having a “special” option.
- Juices & sodas: Orange juice, cranberry juice, tonic, and ginger ale double as mixers and standalone drinks.
- Coffee & tea: Essential for events over 4 hours, especially evening parties.
- Budget tip: Non-alcoholic drinks cost a fraction of alcohol — always over-buy. Running out of water or soda looks worse than running out of beer.
FAQ
How many drinks per person for a 4-hour party?
For a 4-hour party with moderate drinkers, plan 4 drinks per person. For light drinkers, 3. For a heavy-drinking crowd, 6. Always round up — leftover alcohol keeps, running out does not.
How much ice do I need for a party?
Plan for 1.5 lbs of ice per guest. A 50-person party needs about 75 lbs of ice for drinks and keeping bottles/cans cold. In hot weather or outdoor events, add 25% more.
Is it cheaper to buy alcohol at Costco or a liquor store?
Warehouse clubs (Costco, Sam's Club) are typically 15-30% cheaperfor beer and wine. For spirits, prices are similar except for Costco's Kirkland brand which can be 40-50% cheaper. Many liquor stores offer case discounts (10-15% off) — always ask.
Should I offer a full bar or just beer and wine?
Beer and wine only is simpler, cheaper, and sufficientfor most casual events. A full bar makes sense for cocktail parties and formal events where guests expect mixed drinks.
